Introduction

Smart Play Network (“we”) provide services to you which means we need to get, keep, and process data relating to you.  We may get this data directly from you or from somebody else (e.g. an employer or from a professional that has referred you with your permission to us).  We only hold the minimum amount of data for our organisation to be effective in supporting you or others.  We have a separate data retention policy that details how long we retain your data, which if you want to know more about this, please contact the Operations Manager (Strategic).  For most people, the data we hold is very little.

 

We receive, keep, and process this data as part of our legitimate interests, such as being able to communicate our services to you, or connect you with others that we think you would be interested in connecting with.

Our commitment with regards to your data

In relation to our members

​

  • We will hold data provided by you in relation to your projects / services or the work you are involved in. 

  • We will use this data to communicate with you on topics that we think will help and support your work.  This will include regular newsletters and information on upcoming events and resources. 

  • We will not pass your data on to any third party.  As part of our services, we will, if requested or with your agreement, share information about your activities amongst our network of members.

In relation to service users (children & families using our projects)

​

PlayTalkRead​

  • We ask visitors to PlayTalkRead to fill in a survey, which asks for your local authority and your email address (optional). These details are used for monitoring the effectiveness of our delivery and to gather follow-up feedback on the impact of the service.

  • For booked sessions, we ask for name of parent/carer, telephone number and an email address, which is then shredded/deleted after the tour ends.

​

  • For our ASN delivery sessions, we may ask you for additional information such as the name of the child and the additional support needs of the child including medical condition, if appropriate. This will be used to tailor our service to the needs and preferences of the child to develop appropriate activities and create a comfortable and safe environment.

Play Plus Toy Library

  • We record contact details including names, email address, telephone number and home addresses of adult(s), and name of child(ren), gender (optional) and date of birth that join our toy library as a member.

Play Rangers

  • We will keep information on the name of the child, and a name and contact number for emergency contact.  We will only use this if there is an incident or accident at our session.

Play on Wheels

  • We will keep information on the name of the child and name of the parent/carer. This information is required for monitoring purposes and to share statistical data with our funders.  However, we do not use real names when reporting or sharing information.

In relation to our trainees

  • We record contact details including names, email address, telephone numbers and organisation address.  These details are used for billing information and gaining feedback from the courses.

Photographs and media

  • Photographs and videos will not be taken without the completion and signature on a consent form which will include contact details.  If consent is not given, photographs and videos will not be taken of a child.  We will only share photographs and videos (on our materials, social media, and website) if consent is given to do so.

In relation to non-service users (staff, agencies, and other contacts)

  • Data can include contact information, date of birth, health information, employment / work information and financial information (e.g. about your salary and where it is paid).

 

Your rights

As we process your personal data, you have certain rights.  These are a right of access, a right of rectification, a right of erase and a right of restrict processing.
 

  • You may request a copy of your data at any time.  Please make such a request in writing or by email.  For us to action your request please provide the following information: your name, address, telephone number, email address and details of the information you require.

  • If you believe any of the personal data, we hold about you is inaccurate or incomplete, please contact us directly and any necessary corrections to your data will be made without undue delay.

  • If you believe we should erasure your data or stop using your data, please contact us.

  • Where you have provided explicit consent for us to use your data you have a right to withdraw this consent at any time.

 

In general

  • We generally do not send data outside the EU.  However, some of the software we use such as Mailchimp do have a presence outside the EU – in these circumstances, we check that their policies are in line with GDPR (General Data Protection Regulations).

  • In an emergency, we may need to share data with other parties.

  • In all cases, we store your data securely and respect your confidentiality.  After your connection with Smart Play Network is broken, we are allowed to keep your data only if is necessary. 

  • In all cases, you will have the option to unsubscribe from our contact lists at any time.
